What type of information we hold
As a brokerage and as part of our service, we will collect personal information and sensitive personal information from you so that we can advise and arrange insurance policies that maybe suitable for you. We only actively collect sensitive personal information when it is necessary for the cover you require. When obtaining these types of information from you we will do this by phone, email or post and will confirm the accuracy of the data collected.
We currently collect, process and store the following personal information and sensitive personal information:

How we get the information and why we have it
Most of the personal information and sensitive personal information we process is provided to us directly by you for one of the following reasons:
- Carry out our obligations arising from any contracts entered into between you and us
- Notify you about changes to our service
- To administer our business and support those who work with us
- To comply with legal or regulatory requirements
We also receive personal information indirectly, from the following sources in the following scenarios:
- Other FCA regulated insurance brokers, who pass us your personal information so that we may provide services to you
- Public records to comply with legal or regulatory requirements
- SmarterQueue who manage our social media interactions including a private or direct message via social media.
- TextMarketer to send and receive SMS messages
Under the UK General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
- Your consent. You are able to remove your consent at any time by contacting alanknowles@curainsurance.co.uk
- We have a contractual obligation.
- We have a legitimate interest.
What we do with the information we have
We use the information that you have given us in order to:
- Supply you with appropriate insurance products and services
- Instruct insurers to request payments from you
- Send payment reminders to you
- Deal with enquiries and complaints
- Perform money laundering and identity verification checks
- Comply with our legal and regulatory obligations
We may share this information with compliance and other agents relevant to the business activity and selected third party service suppliers for the provision of regulatory and compliance services, insurance research tools, IT and back up services and review services (Feefo).
We do not share information with any other third-party unless at the request of the Police or any other statutory authority or regulator who has a reasonable need for this information to effectively conduct their business e.g. criminal investigations.
How we store your information
Your information is securely stored on our own encrypted secure servers. We also use Synology and Crashplan as back-up systems, and your personal information may be stored here. Both of these systems are based in the EU.
Your information is retained for the following periods:

Where no advice has been provided and no policy purchased, we will hold your data for no more than 12 months;

Where a policy has been purchased or advice has been provided (whether cover applied for or not) we will retain this data, to evidence this advice. This will include keeping a copy of your file including your personal data and any call recording on record for a minimum of 6 years, in line with our regulatory obligation with the FCA;

If you contact us, we may keep a copy of that correspondence.
At the end of our retention period, we will securely destroy your information.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal data in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
